MCLS School Policies

Registration

  1. All course registrations are for the school year (both fall and spring semesters) unless specifically noted on the registration information packet.
  2. You need to download the registration form, fill it out and send it by mail to: Madison Chinese Language School, P.O. Box 5037, Madison, Wisconsin 53705. No verbal requests or phone calls will be accepted.
  3. Tuition must be sent by mail or paid in person on the first day of class. Please make the check payable to MCLS. Registration without tuition payment is not considered an official enrollment. Early bird discount only applies to tuition received by specified date. See Registration Form Download for detail.
  4. For any registration after school starts and on or before the 3rd week of the fall semester, a full tuition will be charged without the processing fee. If registration is received after the 3rd week of the semester, the full tuition will be prorated plus a $10.00 processing fee per course. The total payment will be rounded to the nearest dollar.
  5. If tuition is paid with a check that cannot be processed due to insufficient funds, a penalty fee of $30 will be applied for each bounced check.

 

Cancellation/Withdraw

  1. If a student wants to withdraw from a class, a written notice must be submitted to the board. Email messages to the board (board@mcls-wisc.org) are acceptable. Verbal requests or phone calls are not accepted.
  2. A $10 processing fee per course will be charged for all cancellations/withdrawals unless otherwise noted. The amount of the refund you receive will be based on the rules for the cases listed below:
    1. When the withdrawal is submitted after the 1st week but before the 2nd week of the fall semester, you will receive a full refund without the processing fee.
    2. When the withdrawal is submitted on or after the 2nd week but on or before the 3rd week of the semester, a prorated refund will be issued. The processing fee will be applied and deducted from the refund.
    3. When the withdrawal is submitted after the 3rd week but on or before the 5th week, a refund of a half of paid tuition will be issued. The processing fee will be applied and deducted from the refund.
    4. No refund will be issued if the class withdrawal is submitted after the 5th week, with the exception of the family moving out of town.
    5. In the event of class cancellation due to the family moving out of town after the 5 th week, we will issue a prorated refund. The processing fee will be applied and deducted from the refund.
  3. If a class is cancelled by MCLS after the school has started, you will receive a full refund if the class is cancelled before the 2nd week of the semester, or a prorated refund if the class is cancelled after the 2nd week. No processing fee will be applied.
  4. The amount of a prorated refund is calculated based on the tuition payment you have made, and will be rounded to the nearest dollar.
  5. A refund check is sent to you within 10 business days after your cancellation notice is received or after a class cancellation is announced.

 

Class Transfer

A class transfer may take place if the student, his or her parents and the school board reach an agreement. If the courses involved have the same tuition, it will be an equal exchange. If there is a difference in tuition, the difference will be either debited or credited. No processing fee is charged.

 

Early Registration

To help us plan and prepare for a new school year, we encourage students to register early and get a $10 tuition discount for each annual course or $5 discount for each semester course. See registration form for early bird discount period.

 

Class Cancellation Due to Weather or Other Circumstances

In the event of severe weather conditions and/or other unforeseeable circumstances, the board may decide to cancel the classes. Cancellation notice will be posted on the website (http://www.mcls-wisc.org) as soon as possible once the decision is made. We will also send out notification through email lists to the teachers and parents with the contact information we have on file. We may also try to contact students by phone. However, given the time and resources we have available it may be impossible to reach everyone through telephone. It is essential for students and parents to provide correct contact information (email address and phone number) at the time of registration and provide updates if the information has changed.

 

No make up classes will be offered since we have no flexibility in the use of the class facility. If more than two cancellations occur in the same school year, students will be credited based on the prorated tuition. The credits will be applied when registering for the next school year, or refunded at the parentsĄ¯ request.

 

School Safety

  1. The safety of our teachers and students is a very important matter in conducting our school business.
  2. The facility we use to conduct the classes is on UW-Madison campus. It accessible to public and we cannot police the area on our own. Please make sure that you child is safely entered into the building and the classroom. Do not leave them in the building without the presence of either the teacher or a board member.
  3. When classes are in session, there are parents and board members on site to monitor during recess. After classes are adjourned students should be picked up promptly. ChildrenĄ¯s safety should be high on the priority for all involved. Please note, teachers are not paid outside class hours and board members are all volunteering positions. Neither teachers nor board members can be held responsible for taking care students left at the school site after classes.
  4. When a fire alarm sounds during the class in session, teachers will lead the students to the nearby exits from the classroom. Once exit to the safety zone outside of the building, teachers and board members will take a roll call to ensure that all students are out of the building. If a parent decides to take a student out of the class while waiting outside, the class teacher should be notified before the student leaves.
  5. In case of a tornado warning, teachers will lead the students to the basement through the stairwell and wait there until the warning has been canceled before returning to the classrooms.
